Mailing lists

Collect newsletter subscribers on your website, import or add them, and keep saved groups of members to send campaigns to.

A mailing list is a group of people you send campaigns to. There are two kinds:

  • Subscribers: people who signed up on your website, or whom you imported or added yourself. They don't need an account at your club.
  • Segment of members: members who match a filter, such as men over 50, or members with a particular membership. A segment updates itself, and is checked again every time you send to it.

Mailing lists live under Club Admin → Community → Emails → Mailing lists.

Create a list

  1. Choose Create new.
  2. Enter a Name, and a Description if you want one. The description is shown on the sign-up page.
  3. Under Kind of list, choose Subscribers or Segment of members. You can't change this later.
  4. Choose Save.

From the list's page, New campaign to this list starts a campaign with the list already chosen. See Newsletters and campaigns.

Segments of members

Choose the filter the same way as in a campaign: role, status, membership type, gender and age. The panel underneath shows how many members the segment reaches right now.

A segment has no fixed list of people. Whoever matches the filter when a campaign goes out receives it, so someone who turns 50 next month joins "over 50" next month on their own.

Members of a segment turn emails off by kind, as with any campaign to club members: news and promotions separately.

Sign-up form on your website

On a subscriber list, turn on Sign-up form on your website and save. The list gets a sign-up page on your club's website, and its link appears under the switch. Choose Copy link and put it wherever you want people to sign up: your website menu, a news post, social media or a poster's QR code.

People enter their email address, and optionally their name, and agree to receive the emails. They are added only after they confirm:

  1. They submit the form and are told to check their inbox.
  2. They receive an email asking them to confirm.
  3. They open the link and choose Confirm.

Until they confirm, they show as Waiting for confirmation and receive no campaigns. This stops anyone from signing up someone else's address, and it's your proof that each subscriber agreed.

Add subscribers yourself

On the list's page, under Subscribers:

  1. Choose Add.
  2. Enter one person per line: the email address, then optionally the first name and last name, separated by commas.
    ana@example.com, Ana, Horvat
    ivan@example.com

  3. Add Tags if you want them on everyone you're adding.
  4. Tick These people agreed to receive emails from the club.
  5. Choose Add.

Import from a spreadsheet

  1. Choose Import CSV.
  2. Drop a CSV file in, up to 5 MB and 20,000 addresses.
  3. Add Tags if you want them on everyone in the file.
  4. Tick These people agreed to receive emails from the club.
  5. Choose Import.

The file needs a column named email. Columns named first name, last name and tags are used if they're there. Separate several tags in one cell with | or ;. Files saved by Excel, with commas or semicolons, work as they are. A file without a header row is read as email, first name, last name, tags.

email;first name;last name;tags
ana@example.com;Ana;Horvat;juniors|parents
ivan@example.com;Ivan;;seniors

When the import finishes, you see how many people were added, how many were already on the list, and how many were left out.

Only add or import people who agreed to receive emails from your club. Your confirmation is saved with your name and the date, as the record of their consent.

Who is left out

  • Addresses that aren't valid are skipped.
  • Someone already on the list keeps their place. New tags are added, and a missing name is filled in.
  • Someone who unsubscribed stays unsubscribed. Neither an import nor an admin can put them back. Only they can, by signing up again and confirming.

Manage subscribers

The subscribers table shows each person's email, name, tags, status and how they joined: Signed up, Imported or Added by hand. Hover over how they joined to see how they agreed. Search by email or name, filter by status, or filter by one tag.

  • Tags: type a tag into a row and press Enter to add it; select a tag's × to remove it.
  • Unsubscribe: stops sending them campaigns. They stay in the table as unsubscribed, so they can't be added back by mistake.
  • Delete: removes the row completely.

When someone unsubscribes

Every campaign to a subscriber list has a link at the bottom that takes the person off that list only. They don't need to sign in. Their row then shows as unsubscribed.

Members who receive a campaign as club members, or through a segment, turn off that kind of email from your club instead. They can change this later in their notification settings.

Delete a list

Choose the bin icon next to the list in Mailing lists. Campaigns that were going to the list will reach nobody, so check scheduled campaigns first.
